Close out a tournament
Open Manage tournament, then choose Review tournament finish from Overview, Run, or Results. This opens the closeout page for the whole tournament.
Complete a tournament
Section titled “Complete a tournament”Review the closeout page. It shows Division results and anything still outstanding:
| Item | What to do |
|---|---|
| Unfinished matches | Confirm, cancel, or void every match. |
| Pending stages | Publish the competition for a stage you created but never ran. |
| Open scheduled activities | Complete or cancel remaining scheduled items. |
Choose Complete tournament when the blockers are clear. You can complete a tournament that has no matches — for example a walkover — but the app warns you that it will finish without recorded results.
Completing is a single action for the whole tournament. Do not complete and restart between playing days.
Keep tournament records
Section titled “Keep tournament records”On the closeout page, download Division results, standings, matches and results, rosters, and attendance as CSV files. If you have permission to export intake responses, you can download those too; the closeout download excludes sensitive answers. You can return to these records after completion or archiving.
Choose Review sales to see cash collected, refunds, group credit activity, and payments that need follow-up for this tournament. These are payment records, not a statement of what Stripe paid into your bank account. Processing fees are not deducted from the cash totals shown there.
Cancel a tournament
Section titled “Cancel a tournament”Choose Cancel tournament to call it off. Cancellation is available while the tournament is a draft, upcoming, or in progress.
Cancelling asks how to handle money already collected:
| Option | What it records |
|---|---|
| Refund collected payments | Refund eligible settled tournament payments. This is the default. |
| Apply the refund policy | Follow the refund policy the tournament was set up with. |
| Keep collected payments | Payments are retained. |
The cancellation result shows refunds completed and any returns that still need review. Check Review sales afterward for the recorded payment activity.
Enter a reason, review the choice, and confirm. Cancelling cannot be undone.
Cancelling also:
- cancels every active entry,
- cancels remaining matches and clears their scheduled times and courts,
- releases the facility bookings behind those matches,
- and keeps results that were already confirmed.
A canceled tournament is not erased. Its entries, results, and history remain.
Archive a tournament
Section titled “Archive a tournament”Archiving removes a tournament from active management without deleting anything. It is available once a tournament is Completed or Canceled.
Archive a tournament when its season is over and you no longer want it in your active lists. Players can still reach the tournament by direct link.
What you cannot do
Section titled “What you cannot do”- You cannot delete a tournament. Cancel and archive it instead.
- You cannot return a Completed, Canceled, or Archived tournament to an earlier status.
- You cannot cancel a single stage or a single match to finish a tournament — completion needs every match and stage resolved.
