Sell passes and memberships

A Pass is bought once and used over a set period — the shape most groups call a punch card. A Membership bills on a repeating schedule and can reserve activities for members, discount them, or include a number of visits each billing period. Both are sold from the group, and both can be narrowed to the activities you want them to cover.

  1. Open the Passes list

    Open your group and choose Passes, then create a new Pass.

  2. Describe it

    Give the Pass a name and description, and choose who can see it. A public Pass appears in the group’s offerings; an unlisted or private one does not.

  3. Set the price and validity

    Set what the Pass costs and how long it stays valid. The validity period starts when the Pass is purchased, not when you create it.

  4. Choose the benefit

    • Included uses — the holder gets a set number of visits. Each eligible registration uses one, which is the classic punch card.
    • Percent off — the holder saves a percentage on every eligible registration.
    • Fixed amount off — the holder saves a set amount on each eligible registration. The activity must use the same currency, and the discount cannot reduce the price below zero.
    • Included access — eligible registrations are covered outright while the Pass is valid, without using up a set number of visits.
  5. Choose where it applies

    Under Eligible offerings, pick the kinds of activity the benefit covers — Pickup sessions, Leagues, Classes, Clinics, Camps, Tournaments, Bookings, or Lessons. Then choose whether it covers all eligible activities or only ones you select.

  6. Save or publish

    Save a draft while you are still deciding, then publish when you are ready for players to buy it.

  1. Open the Memberships list

    Open your group and choose Memberships, then create a new Membership.

  2. Describe it

    Set the name, description, visibility, price, and billing interval.

  3. Choose the benefits

    • Member-only offerings — members can join activities you reserve for them.
    • Member discount — members save a percentage or fixed amount on eligible activities. A fixed amount applies only when the activity uses the same currency. The discount applies automatically at checkout.
    • Included uses per billing period — members get a set number of visits each period, refreshed when the period renews.
  4. Choose where the benefits apply, exactly as for a Pass.

  5. Publish the Membership when you are ready.

Eligible offerings picks the kinds of activity the benefit can cover.

Choose All eligible activities when the benefit should cover each activity of those kinds. You can exclude individual activities; new activities of the same kinds are covered automatically. For example, a Pass can cover all your Pickups except one.

Choose Only selected activities when the benefit is for named events or seasons. Select at least one activity. A new activity will not be covered until you select it. For a Pickup series, you can select a single session; for a League or Tournament, select the season or tournament.

A held visit is never spent for the player. When someone with a balance registers, the signup shows the balance as a choice next to the price the registration would otherwise cost, and leaves it unticked. Only if the player ticks it is a visit used; if they leave it alone they keep the visit and pay the shown price.

The order of what a player pays is always the same:

  1. Your price for the activity.
  2. Any membership discount, applied automatically.
  3. A held visit, only if the player chooses to use one.

A promotion code the player enters is applied last, to whatever is left after the discount.

Publish makes it available to players. Pause and Archive take it out of circulation. Changing a Pass or Membership never changes a price someone has already paid. Refunds for a Pass or Membership follow the same rules as any other payment — see Set up payments.
